Convocation Checklist & Guide

Dear Graduands,

We are all looking forward to welcoming you to AIU 6th Convocation Ceremony on Saturday, 13 December 2025. You are advised to plan and make your travel arrangement early to ensure that you are in time for the ceremony.

To prepare you for the ceremony and to ensure that the event runs smoothly, we would appreciate it very much if you could pay attention to the following:

Collection of Convocation Robe

There are three main parts to the convocation attire: the gown, the hood, and the mortarboard (graduation cap).
The hood drapes around your shoulders and signifies the degree you earned.

  1. Graduands may collect their Convocation Robe at the designated time and location stated above.
  2. Please ensure that you receive the following items upon collection:
    • The Robe
    • The Hood
    • The Mortarboard
  3. Please sign the necessary documents at the Robing Room as proof of collection.
  4. The Convocation Robe is specially made for Albukhary International University (AIU) and is valuable. Please take extra care of the attire, do not iron, or sew any items on the robe.
  5. You will also receive an invitation card to the Convocation Hall. This card admits two family members only (one card per person). They are required to present the invitation card to enter the hall.
  6. For family members who are unable to attend in person, a live stream of the ceremony will be available on the University’s Official YouTube Channel.

Note:
All academic staff who hold a PhD and possess their own academic robes from their respective alma mater may wear them during the AIU Convocation.

Full-dress Rehearsal

Friday, 12 December 2025

  1. Please register yourself at Level 3, Left Wing of the Convocation Hall by 8:00 a.m. on Friday, 12 December 2025 for a full-dress rehearsal.
  2. Please bring your Convocation Robe along and the University staff will be at the Hall to show you on how to wear the robe.
  3. The Rehearsal will begin at 9:00 a.m. where you will be lined-up to enter the hall as per the Proceeding of the Convocation.

ONLY GRADUANDS IN APPROPRIATE ATTIRE WILL BE ALLOWED INTO THE HALL FOR REHEARSAL AND THE OFFICIAL CONVOCATION CEREMONY.

Registration

Level 3, Left Wing of the Convocation Hall at 8:00 a.m. on Saturday, 13 December 2025.

  1. All graduands are to register at Level 2, Left Wing of the Convocation Hall
    at 8:00 a.m. on Saturday, 13 December 2025.
    Graduands will be lined-up for procession by 9:00 a.m. and the procession
    into the convocation hall will be at 9:30 a.m. The ceremony will begin at 10:10 a.m.
  2. Graduands who arrive late may not be allowed to enter the hall and participate in the event.
  3. You will be assigned your seat according to the list in the convocation hall.

Photos

  • The University has appointed official photographer for the event,
    and you will receive your photo on the stage taken by the official photographer.
  • Family members and other graduands are not allowed to come forward to take photographs.
    You will be notified by the Alumni Office about when and where to collect the photograph.

Returning of Convocation Robe, and Collecting Scroll, Transcript, and Graduation Photos

Venue: Robing Room, Level 1, East Wing of the Convocation Hall

  1. Graduands are required to return the Convocation Robe before collecting the scroll and transcript. The Convocation Robe Committee will record the return of your robe through a shared drive, and the Academic Management Department (AMD) staff will issue your scroll and transcript once the return has been verified.
  2. Please ensure that you have no outstanding payments to the University, as pending dues may prevent the release of your scroll and transcript. Kindly check with the Finance Department for any payment confirmation before collection.
  3. In addition to the robe return and scroll collection, graduates may also collect their official graduation (stage) photos at the same venue and during the same session for better flow and convenience.
  4. You can return your Convocation Robe and collect your scroll, transcript, and graduation photos on the following days:

  • You can return the convocation robe latest by Monday, 15 December 2025 (any late return will be compounded RM10/day).
  • Unclaimed graduation photos will be stored for a maximum of one (1) year and will be disposed of thereafter.
